Job Description:

The student assistant will work as an staff assistant at the Officer of  International Affairs  (OIA), Office of Development and External Affairs (ODEA) of the Asian Institute of Technology (AIT), which is a leading international postgraduate institution offering engineering, environment and management education in English. 

Role and Responsibilities:

  • Prepare minutes, reports, analysis and presentations for KPCIP
  • Perform administrative and financial management for the training, project and consultancies related to KPCIP
  • Maintain filing system for projects
  • Support in organizing seminars, conferences, trainings and workshops
  • Communicate and coordination with students under scholarships
  • Assist KPCIP students with administrative matters
  • Maintain student files and make a database of students under scholarships
  • Support in organizing student orientation, welcome and farewell
  • Organize study visits, meeting for KPCIP partners/donor
  • Help students follow AIT Style Guide/Policies and assist students in the emergency deployment
  • Liaise and work closely with AIT units: Human Resource (OHRS), Government Relations Unit (GRU), Dean’s Offices, Presidents’ Offices (OPRE), Admissions, Scholarships, Registry, Finance (OFIN), Language Center, Library, Facilities and Assets Management (OFAM), Helpdesk, etc. to ensure the needs of the scholarship program
  • Prepare and monitor the KPCIP budgets, ensuring fiscal responsibility and adherence to financial guidelines.
  • Coordinate financial processes, including expense approvals, reimbursements, and procurement of supplies and equipment for KPCIP
  • Collaborate with the institute's finance department to ensure accurate financial reporting and compliance
  • Other relevant assignments as assigned by the OIA Director

Qualification

Qualifications:

  • Doctor’s degree in education, international relations, business administration, public relations, social sciences, management and relevant subjects with at least 1 year of progressive experience in coordinating with various organizations, institutions as well as individuals of different backgrounds
  • Good understanding of the international higher education arena, universities, international organizations, multilateral development and funding agencies, UN agencies and foundations
  • Communication: Excellent English proficiency with advanced English writing skills.  Speaks and writes clearly and effectively
  • Strong research skills and attention to details
  • Results focused and creative in solving problems
  • Good computer skills in MS Office applications and software, data management and Excel
  • Strong interpersonal and intercultural skills
  • High level of service orientation
  • Ability to work collaboratively and build strong working relationships as a team player in a multicultural environment
  • Demonstrates openness in sharing information and keeping people informed
