Job Description

  • Support the development and delivery of the AIT Digital Transcript Minimum Viable Product as part of the Gates Foundation-funded Digital ID project.
  • Work under the supervision of the Project Investigator and designated technical leads.
  • Serve as the day-to-day product documentation and project coordination focal point between AIT stakeholders and the Sandbox development team.
  • Draft, maintain, and update the Product Requirements Document, project scope, user journeys, business process flows, functional requirements, user stories, and acceptance criteria.
  • Work with technical leads to translate institutional, business, and user requirements into clear and actionable requirements for the development team.
  • Develop and maintain the product roadmap, implementation plan, product backlog, milestones, risks, dependencies, decisions, and action items.
  • Coordinate with relevant AIT stakeholders, including project leadership, the Registrar's Office, academic administration, IT teams, the Alumni Office, the Office of Student Affairs, and other relevant departments.
  • Organise and support requirements-gathering workshops, stakeholder meetings, design discussions, technical coordination meetings, and progress reviews.
  • Prepare meeting agendas, minutes, decision records, action-item trackers, and follow-up communications.
  • Document the current and proposed workflows for digital transcript application, approval, issuance, correction, re-issuance, revocation, access, sharing, and verification.
  • Support the design of user journeys for students, alumni, Registrar's Office staff, system administrators, and transcript verifiers.
  • Coordinate the preparation and review of mock data, anonymised data, process scenarios, and test cases for the Digital Transcript sandbox.
  • Support the design and implementation of digital transcript issuance, student and alumni access, secure sharing, and credential-verification workflows.
  • Coordinate functional testing, user acceptance testing, stakeholder feedback, issue tracking, and product improvements.
  • Maintain the testing plan, test scenarios, issue log, feedback register, and acceptance status of major product features.
  • Coordinate demonstrations of the Digital Transcript system and prepare demonstration scripts, sample user scenarios, presentations, and supporting materials.
  • Monitor project progress against agreed milestones and escalate delays, unresolved issues, risks, and dependencies to the Project Investigator.
  • Prepare regular project progress reports, presentations, implementation updates, and other documentation required by the project.
  • Support coordination with Thai-speaking team members for meetings involving Thai administrative or external stakeholders.
  • Support the delivery of the AIT Digital Transcript MVP by 31 December 2026.
  • Perform other project-related duties assigned by the Project Investigator and project supervisors.

Qualification

Required Qualifications

  • Current AIT student in good academic standing and eligible for appointment as a Student Assistant under AIT regulations.

  • Academic background in Business Administration, Technology Management, Information Systems, Business Analytics, Computer Science, Information Technology, Data Science, Artificial Intelligence, or a related field.

  • Understanding of product management, project management, business analysis, or the software development lifecycle.

  • Ability to prepare and maintain structured project documentation, including product requirements, process flows, user journeys, functional requirements, user stories, acceptance criteria, roadmaps, backlogs, risk and issue logs, meeting records, and action trackers.

  • Ability to communicate institutional and user requirements clearly to technical and non-technical stakeholders.

  • Strong analytical, problem-solving, organisational, and time-management skills.

  • Strong written and verbal communication skills in English.

  • Ability to organise meetings, document decisions, follow up on action items, and coordinate work across multiple stakeholders.

  • Ability to work independently under supervision and manage multiple assignments simultaneously.

  • Ability to identify delays, risks, dependencies, and unresolved issues and escalate them appropriately.

  • Ability to deliver assigned work according to agreed deadlines.

  • Availability to work consistently throughout the MVP development period through 31 December 2026.

Preferred Qualifications

  • Previous experience supporting a software-development, product-development, digital-transformation, institutional IT, or research project.

  • Experience preparing a Product Requirements Document, user stories, acceptance criteria, process diagrams, or project plans.

  • Experience coordinating software developers, administrative stakeholders, users, or external partners.

  • Familiarity with Agile, Scrum, Kanban, design thinking, business-process modelling, or user-centred product development.

  • Familiarity with project and product-management tools such as Jira, Trello, Notion, GitHub Projects, Microsoft Planner, Miro, Figma, or similar platforms.

  • Familiarity with digital identity, digital credentials, Verifiable Credentials, document wallets, MOSIP/Inji, digital signatures, data privacy, consent, or credential verification would be an advantage.

  • Familiarity with university processes involving student records, transcripts, academic administration, students, and alumni would be an advantage.
